Privacy policy

This Privacy Policy explains what personal information Backstop Marketing, a service of Taskronize LLC ("Backstop," "we," "us"), collects, how we use and share it, and the choices you have. It covers backstopmarketing.com, our forms, booking tools, live demo chat, our emails and texts, and our sales conversations (together, the "Services"). It does not cover websites of third parties we link to.

1. Two roles: our own data and our clients' data

1.1 When we are the controller. For people who visit our Site, use our demo, book a call, contact us, or receive our marketing, we decide why and how personal information is used. This Policy applies in full.

1.2 When we are a service provider. Our clients are contractors. When a homeowner or other person contacts a contractor through a website, chat, phone line, text or form we run for that contractor, we process that information on the contractor's behalf and under their instructions. The contractor is responsible for that information and for its own privacy notice. If you are one of those people, please contact the contractor with requests about your data. If you send them to us, we will pass them on to the contractor.

2. Information we collect

You give us:

  • Contact and business details: name, business name, email, phone number, city, ZIP or service area, website, role, services offered
  • What you tell us in forms, chats, texts, emails, calls and meetings, including notes on your business and goals
  • Booking details and scheduling preferences
  • Billing details if you become a client (card details are handled by our payment processor, and we do not store full card numbers)
  • Chat content from our demo assistant, including transcripts

We collect automatically:

  • Device and browser information, IP address, approximate location derived from IP, pages viewed, referring page, time on page, clicks, form interactions and other usage activity
  • Cookies and similar technologies described in our Cookie Policy

From other sources:

  • Ad platforms and analytics providers, which tell us how our ads and Site perform and, for people who submit lead forms in our ads, the information they submitted
  • Public business information about contractors, such as company name, website and listing details, that we use for outreach

Sensitive information. We do not ask for sensitive personal information such as Social Security numbers, financial account numbers, health information, or government IDs. Please do not give it to us or our demo.

3. How we use information

We use personal information to:

  1. provide, run and support the Site, the demo, bookings, and our services;
  2. respond to you and schedule and hold sales and onboarding conversations;
  3. bill and manage client accounts;
  4. send service messages, and marketing messages where the law permits or you agree;
  5. measure, understand and improve the Site, the demo, our AI assistant, and our advertising;
  6. show ads about Backstop on other websites and platforms;
  7. keep the Services secure and prevent fraud, abuse and misuse (including rate-limiting the demo);
  8. comply with laws and enforce our agreements.

We do not use personal information to make decisions with legal or similarly significant effects about you.

4. How we share information

We share personal information only as described here:

  • Service providers that help us run the Services and act on our instructions: CRM and automation platform providers; phone, voice and messaging providers; email delivery; hosting; scheduling; analytics; payment processing; customer support; and AI model providers. A list of the current providers is available on request.
  • Advertising platforms (for example Meta and Google), through cookies and pixels. See Section 7.
  • Professional advisors, such as lawyers, accountants and insurers, under confidentiality.
  • Legal and safety reasons: to comply with law or legal process, to protect rights, safety and property, and to enforce our agreements.
  • Business transfers: if we merge, are acquired, or sell assets, personal information may transfer to the successor, which must honor this Policy.
  • With your direction or consent.

We do not sell personal information for money. Some advertising activity, described in Section 7, may count as "sharing" for cross-context behavioral advertising or a "sale" under some state laws, and you can opt out.

5. What the AI assistant does with your information

5.1 Our demo, and our clients' chat and phone assistants, use artificial intelligence. The assistant tells people that it is an AI at the start of each conversation. Conversations may be recorded and transcribed to answer, book appointments, quality-check, secure and improve the service. On our own demo, we act as the controller of those recordings.

5.2 We use third-party AI models to power the assistant, and we and our team use AI tools to build, audit and improve accounts (which may include review of conversations, configurations and performance data). We provide only what is reasonably needed and use AI models from third-party providers under their business or API terms, under which data submitted is not used to train their public models by default.

5.3 AI can make mistakes. Anything the demo says about price, availability or appointments is fictional.

6. Retention

We keep personal information only as long as needed for the purposes above and to meet legal duties. As a guide: website and sales lead records for 24 months after our last contact; demo chat transcripts and recordings for 90 days; billing records for 7 years; client account data as described in the client agreement (available for export for 30 days after ending, then deleted within 60 days, subject to backup cycles). We may keep information longer if the law requires it or for a legal claim. Then we delete or de-identify it.

7. Cookies, advertising and your opt-out

7.1 We use cookies and similar tools, including analytics and advertising pixels (Google and Meta), to understand Site use and to measure and target our ads, including remarketing to people who visited the Site. Details are in the Cookie Policy.

7.2 Under some state laws, this kind of advertising is "sharing" of personal information (such as identifiers and browsing activity) for cross-context behavioral advertising, or a "sale." In the last 12 months we have shared identifiers, internet activity and approximate location with advertising and analytics providers for that purpose. We do not knowingly sell or share the personal information of anyone under 18.

7.3 To opt out: use the "Your Privacy Choices" link in the Site footer, or turn on a Global Privacy Control signal in your browser, which we honor for that browser. You can also block cookies in your browser settings, or use the industry opt-out tools listed in the Cookie Policy.

8. Text messaging (SMS) terms

8.1 Program. Backstop Marketing sends text messages to people who give us their mobile number and agree to receive them: appointment and demo confirmations, replies to your questions, and, if you opt in to marketing, information about our services.

8.2 Consent. We send texts only after you opt in, for example by checking a box or texting us, and by giving your number in a form that includes a consent statement. Consent to receive texts is not a condition of buying anything. By opting in, you agree to receive texts, which may be sent using automated technology, at the number you gave.

8.3 Frequency and cost. Message frequency varies with your requests and activity, and is typically up to 4 per week. Message and data rates may apply.

8.4 Opt-out and help. Reply STOP at any time to stop receiving texts. You may get one message to confirm. Reply HELP for help, or contact us at info@backstopmarketing.com. Other opt-out words that we honor: CANCEL, END, QUIT, UNSUBSCRIBE.

8.5 Carriers. Carriers and their providers are not liable for delayed or undelivered messages.

8.6 Your mobile information. No mobile information, and no text-message consent or opt-in data, is shared with third parties or affiliates for their marketing or promotional purposes. We do share it with the providers that help us deliver messages, only to send them.

8.7 Client-run messaging. When we send texts on behalf of a contractor client, the contractor is the sender and is responsible for consent. Opt-out replies are honored automatically for that contractor's number. Each contractor's texting is registered under its own business name.

9. Your privacy choices and rights

9.1 Email. Unsubscribe using the link in any marketing email. We may still send account or service messages.

9.2 Calls. Ask us to add your number to our internal do-not-call list and we will honor it. We honor the National Do Not Call Registry where it applies.

9.3 Your state rights. If you live in California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, or another state with a comprehensive privacy law, you may have the right to: know and access the personal information we hold and get a copy; correct it; delete it; opt out of sale, sharing, and targeted advertising; limit the use of sensitive personal information; and not be treated unfavorably for using these rights.

9.4 How to ask. Email info@backstopmarketing.com, or use the "Your Privacy Choices" link. We will verify that you are who you say you are, using information we already hold, and will respond within 45 days (we will tell you if we need more time). You may use an authorized agent, and we may ask them for proof. If we deny a request, you can appeal by replying to us, and if you are still unhappy, you can contact your state attorney general.

9.5 Do Not Track. Browsers' "Do Not Track" signals are not uniform. We honor Global Privacy Control as described in Section 7.

10. Security

We use reasonable administrative, technical and physical safeguards for personal information, including limiting access to people who need it and requiring confidentiality from our team and vendors, and encrypting data in transit. No system is fully secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and authorities as the law requires.

11. Children

The Services are for businesses and are not directed to anyone under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has given us information, contact us and we will delete it.

12. Where information is processed

The Services are intended for users in the United States, and we do not offer them elsewhere. Our providers store and process information in the United States and possibly other countries. Our team works from the United States and other countries and may access personal information from there. We apply the same safeguards regardless of location.

13. Third-party links

The Services may link to or embed third-party sites, calendars or tools. Their privacy practices are their own, and we encourage you to read them.

14. Changes to this Policy

We may update this Policy. We will post the new version with a new effective date, and, if the change is material, give notice on the Site or by email. If a change would let us use information you already gave us in a materially different way, we will ask for your agreement where the law requires it.
